TaxLog SA — Privacy Policy

This Privacy Policy explains how TaxLog SA ("TaxLog", "we", "us"), operated by BlueRockets, collects, uses, stores and protects your personal information when you use the TaxLog SA mobile application (the "App"). We are committed to processing your information lawfully and transparently in accordance with the Protection of Personal Information Act, 2013 (POPIA).

1. Who is responsible for your data

BlueRockets is the responsible party. For any privacy request or query, contact our Information Officer at admin@bluerockets.co.za.

2. Information we collect

• Account information — your name and email address when you register or sign in (including via Google Sign-In).
• Financial records you enter — income, expenses, categories, VAT details, travel-logbook entries, company details and the tax data needed to produce your reports.
• Receipt images — photos of receipts you choose to attach as proof.
• Purchase information — subscription/purchase status processed through Google Play Billing (we do not receive or store your card details).
• Technical & diagnostic data — app performance, crash and usage analytics to keep the App stable and improve it.

3. How and why we use your information

• To provide the App's core features — logging, calculations, estimates and tax reports.
• To authenticate you and keep your account secure.
• To back up and sync your records across your devices.
• To process subscriptions and manage entitlements.
• To send you service communications, such as optional monthly summaries.
• To diagnose crashes and improve performance and reliability.

We process this information to perform our agreement with you, with your consent, and for our legitimate interest in operating and improving the App.

4. Where your data is stored

Your data is stored using Google Firebase (Cloud Firestore, Authentication and Cloud Storage) with data residency in South Africa (the africa-south1 region). Receipt images are processed and stored securely; we follow a process-and-purge approach for any transient media processing and never retain raw video.

5. Sharing your information

We do not sell your personal information. We share it only with service providers who help us run the App, under appropriate safeguards:

• Google Firebase / Google Cloud — hosting, authentication, database and storage.
• Google Play Billing — subscription and purchase processing.
• Mailjet — delivery of transactional emails (e.g. summaries) where enabled.

We may also disclose information if required by law or to protect our legal rights.

6. Retention

We keep your information for as long as your account is active or as needed to provide the App. Tax records are typically retained while you need them for SARS purposes (SARS generally expects records to be kept for five years). You can delete your data at any time (see below).

7. Your rights and choices

Under POPIA you have the right to access, correct, object to or restrict processing of your personal information, and to lodge a complaint with the Information Regulator of South Africa.

Delete everything at any time: the App includes a "Delete My Data" option in Settings that permanently erases all your expenses, receipt images, reports and your account from our servers and your device. You may also email us to exercise any of your rights.

8. Security

We use industry-standard measures including encrypted transport, authenticated access and access controls. No method of transmission or storage is completely secure, but we work to protect your information and to notify you and the Regulator of any breach as required by law.

9. Children

The App is intended for adults managing their own or their business's tax affairs and is not directed at children under 18.

10. Changes to this policy

We may update this policy from time to time. We will revise the "Last updated" date above and, where appropriate, notify you in the App.

12. Disclaimer & limitation of liability

Not tax, legal or financial advice. TaxLog SA is a record-keeping and estimation tool only. The calculations, estimates, categories, source-code mappings and reports it produces are for general guidance, may be incomplete or inaccurate, and do not constitute tax, legal, accounting or financial advice, nor a substitute for advice from a registered tax practitioner. We are not affiliated with, endorsed by, or acting on behalf of SARS. Tax laws, rates and thresholds change and may apply differently to your circumstances — always verify the figures and confirm with a registered tax practitioner before filing or making any decision.

Your responsibility. You are responsible for the accuracy and completeness of the information you enter, for retaining your own supporting documents (SARS generally requires five years), and for your own tax submissions.

No warranties. The App is provided "as is" and "as available", without warranties of any kind, express or implied, including accuracy, merchantability or fitness for a particular purpose.

Limitation of liability. To the maximum extent permitted by law, BlueRockets, its owners, employees and partners will not be liable for any loss or damage of any kind — including any direct, indirect, incidental, special, consequential or punitive loss, loss of profits or data, or any penalties, interest or additional assessments imposed by SARS — arising out of or in connection with your use of, or reliance on, the App, its calculations or its reports, even if advised of the possibility of such loss. Nothing here excludes liability that cannot lawfully be excluded.

TaxLog SA helps you organise your records and provides rough estimates. It is not tax or legal advice and is not affiliated with or endorsed by SARS.
